Write in a Conversation

Writing in a crew channel or a conversation between pages in the Sway web app: mentions, replies, files and Drive attachments, reactions, edits, read marks, muting and Swapy's drafts, translations and summaries.

What you can do in a crew channel and in a conversation between pages: the same composer, the same actions on a message. Your private chats from the app work a little differently, see Personal chats.


Write and send

Type in the field at the bottom, Write a message..., and press Enter or click Send. Shift+Enter starts a new line. A message holds up to 4,000 characters.

  • Mention someone: type @ and the start of a name, and pick the person with the arrows and Enter, or with a click. In a channel, the list holds the people who can read it; between pages, your own team, which makes a mention in an internal note the way to call a teammate in. The person gets a notification in the bell.
  • Reply to a message: the arrow beside it quotes it above the field. The cross drops the quote.
  • A sway.events link to an event, an artist, a venue or a promoter shows as a card under the message, such as See the event on Sway.

Attach files

  • Attach a file, the paperclip: PDF, images (PNG, JPEG, WebP, GIF), text and CSV, Word, Excel, PowerPoint and MP3, 25 MB each at most, ten per message. A file refused says why, such as cannot be attached: PDF, image, document, spreadsheet or MP3, 25 MB at most.
  • Attach from the Drive, the folder: a file of the Drive of the page you write as, or of the crew's Drive in a channel. It needs access to that Drive.

Files uploaded here are private: opening one creates a link that works for five minutes, for the people of the conversation only.

A Drive file keeps its own address: whoever has the link can open it. The dialog says so. Attach a contract from the Drive only if that link may travel.

Act on a message

Three buttons sit beside each message, dimmed until you point at it.

  • React, the smiley: 👍 ❤️ 😂 🎉 👀 🙏 🔥 ✅. Click the same reaction again to take it back. The count under the message says how many people chose it.
  • Reply, the arrow.
  • More, the three dots:
    • Edit: your own message or note, for 15 minutes after sending. It then reads edited.
    • Copy: the text, to your clipboard.
    • Translate with Swapy: someone else's message, into your admin language. The translation shows under it.
    • Report: someone else's message, to the Sway team. See Privacy and safety.
    • Delete: your own message, after Delete this message?. It reads Message deleted for everyone, and its files are removed. In a crew channel, the people who can moderate it delete any message.

An offer is neither edited nor deleted: it is answered or countered. See Offers.


See who read it

  • Seen, under your last message, once someone on the other page has read it. Between pages only: a channel shows no read marks, and an internal note never counts.
  • is typing... under the thread, while someone writes.

Swapy in a conversation

Swapy reads the latest messages of the conversation you have open, nothing else, and it never sends anything itself. Your internal notes go into a summary only: a draft or an offer, which the other page will read, never sees them.

  • Draft a reply with Swapy, the sparkle beside the field: a draft lands in the field. Change it, then send it yourself.
  • Translate with Swapy, in a message's More menu: the translation shows under the message.
  • Summarise with Swapy, in the conversation's menu at the top: a summary heads the thread, titled Summary by Swapy, until you close it.

If Swapy cannot answer, the screen says Swapy is not available right now.


Mute a conversation

Mute, in the conversation's menu, keeps it out of the badge and out of the emails, and marks it with a crossed-out bell in the list. Unmute brings it back.
