Products

Add merch to a Sway shop in the web app: photos, sizes and colours as variants, price and stock, where a product is listed, safety information and publishing.

The Products tab of the Shop screen is your catalogue: every product with its status, its price, its stock left and the units sold. A new product is a draft until you publish it.


Open the Products tab

  1. Open the page's Shop screen, under Shop in the left sidebar.
  2. Products is the first tab.

With no product yet, the screen reads No product yet with a New product button. Once there are some, the search field (Search a product…) and the filters All, On sale, Drafts and Archive sit above the list.


Add a product

  1. Click New product.
  2. Fill in Title and Description. Line breaks in the description are kept.
  3. Under Photos, click Add photos. JPEG, PNG or WebP, 10 MB at most, 10 photos per product. The first one is the Cover; the arrows on each photo change the order.
  4. Set the price and the stock (see the next section).
  5. Click Create the product in the bar at the bottom of the screen.

The product is saved as a Draft: nobody sees it yet.

Leave the stock empty for no limit, for things made to order. A stock of 0 marks the variant Sold out without taking it off the page.

Options and variants

A t-shirt in three sizes and two colours is one product with six variants, each with its own price, stock and code.

  1. Under Options and variants, click Add an option (size, colour…).
  2. Name it (Size), then type its values and press Enter after each (S, M, L).
  3. Add up to three options. Every combination becomes a row in the table below.
  4. On each row, set Price, Stock, Code (SKU) and Max per order. One price for all fills every row at once.
  5. Switch On sale off on a combination you do not make.

Renaming a value or adding one keeps what you typed on the combinations that survive. A variant that was already sold is kept for the orders when you remove it, and simply stops selling.


Where a product is listed

Under Where it is listed:

  • In the shop: on your page, and on your events that show all your products.
  • Events only: only on the events you attach it to, in their Shop tab. Use it for a tour poster or a one-night edition.

Under How buyers get it, tick Delivery, Pickup at the event and Pickup at your place as they apply. Under Countries, keep Everywhere, or pick Only or All except and choose the countries: pickups are never limited by country.


Safety and origin

The EU asks it of anything sold to consumers (GPSR): who made the product (Manufacturer), who answers for it in the EU (Responsible person in the EU, required when the manufacturer is outside the EU) and how to use it safely (Safety information). Buyers read it on the product page.

Weight and Preparation are optional: the preparation time is shown to buyers before they pay.


Pre-order

Sell a product before it is ready: buyers pay when they order, and you ship from a date you announce.

  1. In the product, switch on Pre-order.
  2. Set Ships from: tomorrow at the earliest, a year ahead at the latest.
  3. If you want, set Last day of pre-orders (optional). After that day the product stays on the page as Pre-orders closed and can no longer be bought.
  4. Save. In the list, the product carries a Pre-order badge with its date.

Buyers see the date on the product, in the cart and on the payment page, then in their confirmation email. An order that mixes pre-orders and products in stock ships in one go, on the latest date. Pickup at the event is offered only when everything in the cart is ready by then. On the shipping date, the product sells like any other.

To limit the run, set the variant's Stock: at 0 it reads Sold out.

Moving Ships from later emails every buyer of an order not yet shipped who was promised the earlier date, with the button to withdraw. Moving it earlier changes nothing for the orders already placed.

Publish, unpublish, archive

  • Publish puts a draft on sale everywhere it is listed. It needs at least one variant On sale, and the shop itself must be open for buyers to see it.
  • Unpublish takes it off sale and keeps it as a draft.
  • Archive, in the row's menu, moves it to the Archive filter; Restore brings it back as a draft.
  • Delete removes it from the shop and from every event at once. A product that was sold stays in your archive, because its orders point at it.

Save your changes before publishing: the button waits until the editor is saved.
