Offers

Booking offers in a conversation between pages in the Sway web app: making an offer, accepting, declining or countering it, and how it lands in the promoter's bookings.

An offer puts the terms of a booking in the conversation: who plays, when, for how much and on what deal. The other page accepts it, declines it or counters it, and everyone reads the same card. When one of the pages is a promoter, the offer is also written into that promoter's Bookings.


Make an offer

Offer sits beside the message field in a conversation between pages, once the request is accepted, when an artist is part of it: an artist page on either side, or an artist of a crew's roster.

  1. Click Offer. The form is headed Make an offer.
  2. Fill in the terms:
    • Artist: the artist page of the conversation, or one of the crew's roster;
    • Event: a coming event of the promoter or the venue of the conversation, or No event yet;
    • Date and time of the set, and Set length in minutes;
    • Fee and its Currency;
    • Deal: Flat fee, Guarantee, Door split, Guarantee plus a share, Landed (costs included) or Backend percentage;
    • Answer before, a date, and Notes: rider, travel, hotel.
  3. Click Send the offer.

Fill in with Swapy, at the top of the form, reads the conversation and fills in what was already agreed. Check every field before sending: Swapy keeps only the terms it is sure about, and you send the offer yourself.


Answer an offer

The offer shows in the thread as a card with its status: Waiting. The page that did not make it sees three buttons:

  • Accept: the card reads Accepted, and the thread says who accepted it.
  • Counter: see below.
  • Decline: the card reads Declined, and the thread says who declined it.

The page that made the offer is told in the bell: Offer answered. A new offer arrives the same way, as New offer. An offer answered stays as it is: answering it again says This offer was already answered.


Counter an offer

Counter opens the same form, headed Counter-offer and filled with the current terms. Change what you want and send it. The first offer then reads Replaced, and the new card marks the terms that changed, so nobody has to compare them line by line.

An offer is never edited or deleted: a counter-offer is how its terms change.


In the promoter's bookings

When one side of the conversation is a promoter, the offer creates or updates a booking on that promoter's Bookings screen, and the card says In the booking pipeline:

A conversation started from a booking, with Write about it, works on that booking. Otherwise the offer reuses the booking of the same artist for the same event, or creates one.

Between other pages, a venue and a crew for instance, the offer lives in the conversation only.
